HOW AND WHEN TO BOOK?
You can reserve your room during the Summit registration process or come back later to your personal profile – using the codes received to login after registration is complete.
Make sure that the Summit Secretariat receives your hotel booking request as soon as possible (preferably before 29 February) as availability is limited and rates might increase when getting closer to the Summit. The booking will be confirmed on a "first come, first served".
Rooms are available from 17 April to 19 April 2012. All other dates are upon request and subject to availability; rates may vary for pre- and post- conference nights. Do not hesitate to contact us for special requests.
Your hotel booking will be automatically confirmed by e-mail, together with your Summit registration.
HOW TO PAY?
Payments for all bookings will be settled with the hotel directly upon check-out. However, valid credit card details must be given when making your online booking request in order to guarantee and secure your reservation. Please ensure that your credit card is valid at the time of the Summit, otherwise the organiser may release your room.
The official invoice will be issued by the hotel upon check-out.
CANCELLATION?
Any change of reservation will be subject to the following conditions:
- Cancellation received before 31 March 2012: no charge
- Cancellation received as from 31 March 2012: the full stay will be charged on the credit card
In the event of non-arrival (no-show), the hotel will automatically release your room and the full stay will be charged on the credit card.
If you leave earlier than on the dates indicated on your reservation form, the full stay will be charged on the credit card.
Any request for modification or cancellation should be addressed to the Summit Secretariat (and not the hotel directly).
LATE ARRIVAL?
Late arrival (after 6 PM) should be indicated on your registration & hotel booking form in order to secure your room.
